The Database Tuneup is a maintenance tool for the system administrator. It is designed to keep your ERP running at peak speed by optimizing the internal storage of records.

  1. Access: Navigate to System Tools > Database Tuneup.
  2. Maintenance: Select the specific maintenance task (e.g., Reindex Data).
  3. Execute: Click the Tuneup button.
  4. Relax: The system will automatically defragment and optimize your society’s database.

1. Why is this needed? 📝

As a society uses the ERP daily, thousands of invoices, receipts, and logs are created. Over time, the “index” (the system’s internal map for finding data) can become fragmented, similar to how a physical library might become messy if many people move books around.

Database Tuneup “re-organizes the library shelves,” making reports load faster and searches more responsive.


2. Key Maintenance Tasks 🔄

  • 🏗️ Index Rebuilding: Re-arranges data for faster searching.
  • 🧹 Shrink Database: Removes unnecessary empty space to keep the database size manageable.
  • 📊 Update Statistics: Helps the system decide the most efficient way to run complex reports like the Member Statement.

3. When to run a Tuneup? 📅

You don’t need to run this daily. Recommended triggers include:

  • Monthly Closing: After finalizing your monthly billing.
  • Sluggish Performance: If you notice reports are taking longer than usual to generate.
  • Large Imports: After importing 100+ members or historical arrears.

4. Validations & Safety ⚠️

  • Non-Destructive: This process does not delete any of your society’s data. It only changes how the data is stored “under the hood.”
  • Admin-Only: Only users with “System Admin” roles can access this utility.

5. Best Practices / Tips 💡

  • Off-Peak Hours: Run the tuneup during late evenings or non-working hours to ensure it doesn’t slow down the system for other staff members.
  • Combined with Backup: Always a good idea to perform a standard database backup before and after any major maintenance task.
  • AGM Preparation: Run a full tuneup just before the society’s Annual General Meeting to ensure all presented reports generate instantly.
