The User On Board module is the “Entry Gate” for your society administration. It allows you to transform staff members and committee residents into active ERP users. Proper onboarding ensures everyone has a login and can start contributing to the society’s digital records immediately.

âš¡ Quick Start: Onboarding a New User

  1. Access: Navigate to System Tools > User On Board.
  2. Setup: Select the Database Name (usually your society’s name).
  3. Choose Role: pick the Option Type (e.g., Update as Admin, Update as Limited User).
  4. Identify: Select the user from the global list.
  5. Activate: Click Submit to grant them access to your society’s data.

1. Introduction 📝

User On Boarding is the process of attaching a registered user to your specific society. While a person might be registered on the ERP portal, they cannot see your society’s private vouchers or bank details until you “Onboard” them.

2. Onboarding Options 🏗️

Depending on your permissions, you can assign different “Starting Levels” during onboarding:

  • 👤 Limited User: Typically for site staff who only need to enter data but shouldn’t change system settings.
  • 👑 Admin: For society secretaries or managers who need full control over the database.
  • 🛑 Deactivate/Remove: Use these options if a staff member leaves the society to immediately stop their access.
  • 📁 Module Link: Special option to decide which major modules (Finance, Helpdesk, Inventory) the user can see.

3. Usage in Daily Work 🔄

Once a user is onboarded:

  1. They appear in the Link User to Group list.
  2. Their actions start appearing in the ERP Log Reports.
  3. They can receive Support Requests if they are assigned to a resolver group.

4. Best Practices / Tips 💡

  • Verify Email: Ensure the user has a valid email address before onboarding, as all password resets and notifications will go there.
  • Least Privilege: Always onboard staff as “Limited Users” first. You can always give them more power later using Group Linking.
  • Cleanup: At the end of every committee term (General Body Meeting), review the user list and “Remove” any members who are no longer part of the managing committee.
