Membership status isn’t static. In a large society, owners sell flats, tenants move, and membership transfers occur. The Member Status Log captures every “Change of State” recorded in the Member Master.
2. Usage Scenarios 🔄
- ðŸ˜ï¸ Occupancy Verification: If the society charges “Non-Occupancy Charges,” this log identifies exactly when a member’s status changed to non-occupying.
- 📜 Transfer Audit: When a flat is sold, the log records the timestamp when the old owner was marked “Left” and the new owner became “Active.”
- ðŸ—³ï¸ Voter List Preparation: During society elections, use this log to verify who was an active member on the cutoff date.
3. Related Reports 📊
- 📖 I & J Registers: These statutory registers draw their “Date of Admission” and “Date of Cessation” data from the events tracked in the status log.
- 📉 Occupancy Summary: Summarizes the number of self-occupied vs. rented flats over time.
4. Validations & Accuracy âš ï¸
The data in this report depends entirely on the accuracy of the Member Master.
- Backdated Entry: If a status is changed today for an event that happened last month, the log will record both the actual change date and the entry date for a full audit trail.
5. Best Practices / Tips 💡
- Prompt Updates: Always update a member’s status as soon as the Managing Committee approves a transfer or occupancy change.
- Reference Document: When changing a status to “Left,” mention the resolution number or transfer set number in the master notes so it appears in the log.
- Monthly Reconciliation: Compare this log with your society’s “Shift-In/Shift-Out” registers to ensure the ERP is in sync with physical movement in the building.
