The ERP Log Report records the “Who, What, and When” of your ERP environment. In a multi-user society where different staff or committee members have access, this report protects the integrity of your data by identifying the source of any changes.
2. Usage Scenarios 🔄
- 🔠Dispute Resolution: If a member claims their payment was recorded late, the admin can check the logs to see exactly when the receipt was entered and by which user.
- 🛑 Data Deletion Review: If a critical record goes missing (e.g., a Vendor bill is deleted), the log shows who deleted it and at what time.
- ðŸ–¥ï¸ Activity Monitoring: Check which modules are being used most frequently by the staff.
3. Data Visibility ðŸ”
The report provides the following key fields:
- Log Date & Time: The exact timestamp of the activity.
- User Name: The login ID of the person performing the action.
- Page Name: The module being accessed (e.g.,
InvoiceCreate,AccountMstDetails). - Action Type: Whether it was a view, addition, modification, or deletion.
- Details: Additional context about the record impacted (e.g., Invoice Number or Ledger Name).
4. Best Practices / Tips 💡
- Regular Review: The Society Secretary should review the ERP logs once a month to ensure that system privileges are not being misused.
- Focus on ‘Delete’: Use the Excel filter to specifically look for “Delete” actions; these are the most critical events in any audit trail.
- Match with Reports: If you see a discrepancy in the Daily Collection Report, cross-reference it with the ERP Log for that day to see if any receipts were modified after being saved.
